1. Scope of this Policy
This Billing, Subscription & Refund Policy ("Policy") describes how fees are charged for Poliro, how subscriptions renew and can be cancelled, and in what situations refunds may be granted. It applies to all paid subscriptions and one-off purchases made through our website or in-product billing interfaces.
This Policy is a summary and does not replace our Terms of Service . Capitalised terms used but not defined here have the meaning given in the Terms of Service. If there is any inconsistency between this Policy and the Terms of Service, the Terms of Service will control.
2. Subscription Plans and Pricing
Poliro is offered on a subscription basis with different tiers, such as Starter, Pro and Custom plans ("Subscription Plans"). Each Subscription Plan has its own features, limits (for example, image credits or usage caps), and pricing, as described on our pricing page or inside the Service at the time you subscribe.
Prices are typically shown in EUR or USD and may vary by region due to taxes, currency conversion, or local pricing. Unless stated otherwise, prices are exclusive of any applicable sales taxes, VAT or similar charges, which may be added at checkout based on your billing information and the requirements of applicable law.
We may change our Subscription Plans or pricing from time to time. Any change to your existing Subscription will only apply from the start of your next billing period, unless we explicitly state otherwise and you agree. Where required by law, we will notify you in advance of price changes and give you the opportunity to cancel before they take effect.
3. Payment Providers and Merchant of Record
We use third-party payment providers and/or a Merchant of Record (for example, Paddle) to securely process payments, manage taxes, handle certain compliance obligations and, where applicable, administer refunds and chargebacks. When you make a purchase, you may be asked to agree to the terms and privacy policy of that payment provider or Merchant of Record in addition to our own Terms.
In some cases, any refund that we agree to grant will be processed by the payment provider or Merchant of Record, and you may need to interact with their support channels to complete the process. The payment provider may also make decisions about fraud, chargebacks and tax handling in line with their own policies and applicable law.
4. Billing Cycles, Auto-Renewals and Invoices
4.1 Billing Cycles
When you subscribe to a paid Subscription Plan, you will be billed in advance for the selected billing cycle, such as monthly or annually. Your billing date is usually the date you first started a paid Subscription. If you upgrade or downgrade your Subscription Plan mid-cycle, we generally keep the same billing date and apply prorated charges or credits for the remaining time in that billing period, rather than starting a new cycle.
4.2 Auto-Renewals
Unless stated otherwise at the time of purchase, all paid Subscriptions renew automatically at the end of each billing period for the same term and at the then-current price for your Subscription Plan, until you cancel. By starting a Subscription, you authorize us and/or our payment provider to automatically charge the applicable fees to your chosen payment method at each renewal.
We may send you reminder emails about upcoming renewals where required by law or as a courtesy, but renewal may occur even if you do not read those messages. It is your responsibility to keep your contact details and payment method up to date and to cancel before renewal if you no longer wish to continue.
4.3 Plan Changes
If you upgrade your Subscription Plan during a billing period, we usually apply the new plan immediately and charge a prorated amount for the remaining time in your current billing period, while keeping your original renewal date. For downgrades, we generally apply the change at the end of your current billing period.
4.4 Invoices and Receipts
After each successful charge, we or our payment provider will issue an invoice or receipt to the email address you provided and/or make it available within the Service or the provider’s billing portal. If you require specific information on your invoice (for example, company name, VAT ID), please ensure your billing profile is accurate before purchase or renewal.
5. Trials and Promotions
From time to time, we may offer a free or discounted trial of a paid Subscription Plan ("Trial"). The scope, duration, and any usage limits or other conditions of a Trial will be described on our website or during sign-up.
Some Trials may require that you provide billing information and may convert automatically into a paid Subscription at the end of the Trial unless you cancel beforehand. In those cases, we will clearly inform you of the conversion and the applicable fees at the time you start the Trial, and, where required by law, we will ask for your explicit consent for immediate access and auto-renewal.
Trials and promotions are offered at our discretion. We may modify, suspend or terminate a Trial or promotion at any time, or decline to offer the same Trial more than once to the same user or account, in order to prevent abuse.
6. Credit Rollover (Plan-Dependent)
Starter plan:
- Unused credits do not roll over into the next billing period.
Pro plan:
- Unused credits can roll over for one additional billing period only.
- A maximum of 1x month of rollover is allowed (total max available = 2× monthly quota).
- At the end of each period, unused credits from the immediately previous period are rolled forward.
- Older unused credits expire automatically.
Upgrades/downgrades:
- When upgrading from Starter → Pro: rollover begins starting with the next billing period.
- When downgrading Pro → Starter: any rollover credits are lost at the next period boundary.
- Paddle Billing limits when changes can be made: it blocks changes within about 30 minutes of the next billing period and while an account is past due. If either applies, please resolve the payment issue or wait and retry.
7. Cancelling Your Subscription
You can cancel your paid Subscription at any time through the self-service options provided in the Service (for example, your billing or account settings) or, where indicated, via our payment provider or Merchant of Record. You may also contact us using the details at the end of this Policy if you need help with cancellation.
Unless we tell you otherwise at the time of purchase or as part of a specific promotion, cancellation will take effect at the end of your current billing period. You will continue to have access to your Subscription Plan until that date, after which your account may be paused or have reduced functionality until you subscribe again.
Cancelling a Subscription stops future automatic renewals. It does not by itself entitle you to a refund for past charges, except where this is required by applicable law or explicitly stated in this Policy or our Terms of Service.
8. Refunds
8.1 General Rule
Because Poliro is a subscription-based online service that incurs infrastructure and operating costs with each use, Subscription fees and other charges are generally non-refundable, and generally not creditable once charged, including for partially used periods, downgrades, or unused image credits. Please review your chosen Subscription Plan and billing period carefully before confirming your purchase.
8.2 Our Discretionary Refunds
We may decide, at our sole discretion, to issue a refund, credit or extension of service in particular cases (for example, if there was a technical issue on our side or a clear billing error). Any such decision is voluntary, applies only to that specific case, and does not create an obligation for us to offer similar arrangements in the future.
8.3 Refunds Required by Law
If you are a consumer and applicable law in your country provides a mandatory right to withdraw from or cancel an online subscription contract within a certain period (for example, a 14-day cooling-off period for some EU/EEA consumers), we will honor that right in accordance with the law. In some cases, your legal withdrawal period may start when you first gain access to the Service, including during a paid Trial or when you ask us to begin providing the Service immediately.
Nothing in this Policy is intended to limit any non-waivable statutory rights you may have under applicable consumer protection law. If you believe you are entitled to a refund under such laws, please contact us or, where relevant, our payment provider or Merchant of Record with your order details so that we can review your request.

If you have questions about a charge, need help cancelling a Subscription, or want to request a refund, please first review this Policy and our Terms of Service. If you still need assistance, you can:
- Use the in-app billing or account settings to view and manage your Subscription; and/or
- Contact us directly using the details below, including your account email, order ID and any relevant information; and/or
- Where indicated on your receipt or in the order confirmation, contact the payment provider or Merchant of Record (for example, Paddle) via their support or order look-up tools.
We aim to respond to billing questions within a reasonable time. In cases involving potential legal rights (for example, statutory withdrawal), we may ask you for additional information to verify your request.
